Service Delivery Timeline & Process

Understanding our delivery timelines, milestones, and processes ensures realistic expectations and successful project completion.

1. Overview

This Delivery Policy outlines the timelines, processes, and terms for service delivery by VoroHQ (operated by Bit By Bit Web Services Private Limited). It applies to all services including brand building, legal services, web/app development, video production, digital marketing, and consultation packages.

Delivery timelines mentioned in this policy are estimates based on standard project scope and assume timely client cooperation. Actual delivery dates may vary based on project complexity, client responsiveness, third-party dependencies, and scope changes.

Important Notice:

All delivery timelines commence from the date of payment confirmation and receipt of all required information, assets, and approvals from the client.

2. General Delivery Terms

Delivery Commencement:

Service delivery begins only after:

  • Full payment or advance payment (as per agreement) is received and confirmed
  • Signed agreement/proposal is received from the client
  • Complete project brief and requirements are submitted
  • All necessary assets, credentials, and access permissions are provided
  • Kick-off meeting is conducted and project scope is finalized

Business Days Definition:

All timelines are calculated in business days (Monday to Saturday, 10:00 AM to 7:00 PM IST), excluding:

  • Sundays and public holidays in India
  • Days when client feedback/approval is pending
  • Days affected by unforeseen circumstances or force majeure events

Timeline Flexibility:

Estimated delivery timelines are provided in good faith but are not legally binding commitments. VoroHQ reserves the right to adjust timelines based on:

  • Project complexity discoveries during execution
  • Client-requested scope changes or additions
  • Delays in client approvals, feedback, or asset submission
  • Third-party vendor dependencies (government offices, external APIs, etc.)
  • Technical challenges or unforeseen complications
  • Resource availability and workload management
No Liability for Timeline Overruns:

VoroHQ is not liable for any direct, indirect, or consequential damages arising from delays in service delivery. Delays do not entitle clients to refunds, discounts, or compensation.

3. Service-Specific Delivery Timelines

Consultation Services:

  • Strategy Session (60 min): Scheduled within 3-5 business days of booking
  • Deep-Dive Session (3-4 hours): Conducted within 5-7 business days
  • Growth Roadmap Delivery: 5-7 business days post final session
  • Follow-up Session: Scheduled within 10-15 business days

Brand Building Services:

  • Brand Strategy Document: 10-15 business days
  • Logo Design (3 concepts): 7-10 business days
  • Brand Identity Package: 15-20 business days
  • Brand Guidelines Document: 10-15 business days
  • Market Research & Analysis: 10-15 business days
  • Competitor Analysis Report: 7-10 business days

Legal Services (Law Tak):

  • Company Incorporation (Private Limited): 15-25 business days (subject to government processing)
  • Trademark Application Filing: 3-5 business days (registration takes 6-18 months via government)
  • Legal Document Drafting: 5-10 business days per document
  • Contract Review: 3-7 business days
  • GST Registration: 7-15 business days
  • Legal Consultation Reports: 5-7 business days
  • Litigation Services: Timeline varies based on court schedules

Web & App Development:

  • Landing Page (Single Page): 7-10 business days
  • Business Website (5-10 pages): 20-30 business days
  • E-commerce Website: 30-45 business days
  • Custom Web Application: 45-90 business days (varies by complexity)
  • Mobile App (iOS/Android): 60-120 business days
  • API Integration: 5-15 business days per integration
  • Website Maintenance Updates: 2-5 business days per update

Video Production (Sparklusion):

  • Corporate Video (2-3 min): 15-20 business days (including shooting & editing)
  • Social Media Reels (15-60 sec): 5-7 business days
  • Product Showcase Video: 10-15 business days
  • Event Coverage: 10-15 business days post-event
  • Ad Film/Commercial: 20-30 business days
  • Music Video: 25-40 business days
  • Documentary: 45-90 business days

Digital Marketing Services:

  • SEO Audit Report: 5-7 business days
  • Content Writing (per 1000 words): 3-5 business days
  • Social Media Content (10 posts): 7-10 business days
  • Google Ads Campaign Setup: 3-5 business days
  • Facebook/Instagram Ads Setup: 3-5 business days
  • Monthly Marketing Report: First week of each month
  • SEO Implementation (On-page): 15-20 business days

Voro HQ One (Complete Package):

  • Onboarding & Strategy: First 7 business days
  • Initial Deliverables: Within first 15-20 business days
  • Monthly Milestones: Delivered throughout each month (ongoing)
  • Comprehensive Reporting: End of each month
  • Minimum Engagement: 6 months with continuous delivery

4. Milestone-Based Delivery Process

Most projects are delivered in phases with defined milestones to ensure quality, allow for feedback, and maintain alignment with client expectations.

Milestone 1: Discovery & Planning (10-15% of timeline)
  • Requirements gathering and documentation
  • Research and competitive analysis
  • Strategy development and approach finalization
  • Project plan and timeline confirmation
  • Client Action: Review and approve project plan
Milestone 2: Design/Concept Phase (25-30% of timeline)
  • Initial concepts, wireframes, or designs
  • Creative direction presentation
  • Mockups and prototypes (where applicable)
  • Client Action: Provide feedback and approve direction
Milestone 3: Development/Execution (40-50% of timeline)
  • Core development, production, or implementation work
  • Integration of approved designs
  • Content creation and asset development
  • Client Action: Provide necessary assets and credentials
Milestone 4: Review & Refinement (15-20% of timeline)
  • Client review and feedback incorporation
  • Testing, quality assurance, and optimization
  • Revisions within agreed scope
  • Client Action: Submit consolidated feedback within 3-5 business days
Milestone 5: Final Delivery (5-10% of timeline)
  • Final deliverables handover
  • Documentation and training (if applicable)
  • Launch, deployment, or go-live
  • Client Action: Final acceptance and sign-off
Real-Time Progress Tracking:

All Voro HQ One clients receive access to our project management portal where you can track milestones, view deliverables, and monitor progress in real-time.

5. Client Responsibilities Affecting Delivery

Timely project delivery depends significantly on client cooperation and timely fulfillment of responsibilities. The following client actions directly impact delivery timelines:

Required Client Inputs:

  • Timely Feedback: Clients must provide feedback within 3-5 business days of receiving deliverables for review
  • Asset Submission: All required content, images, videos, logos, and documents must be submitted as per agreed timelines
  • Access & Credentials: Website credentials, social media logins, domain access, hosting details must be provided upfront
  • Approvals: Design approvals, content approvals, and milestone sign-offs must be given within specified timeframes
  • Legal Documents: For legal services, all required ID proofs, business documents, and signatures must be submitted promptly
  • Payment Schedule: For milestone-based projects, subsequent milestone payments must be made on time
  • Communication: Respond to emails, calls, and messages within 24-48 hours to avoid project delays

Client-Caused Delays:

The following situations will result in timeline extensions without liability to VoroHQ:

  • Delayed feedback or approvals beyond agreed review periods
  • Unavailability of key stakeholders for decision-making
  • Failure to provide required assets, content, or credentials
  • Multiple rounds of changes beyond agreed scope
  • Client-side technical issues (server problems, domain issues, etc.)
  • Changes in project requirements mid-execution
  • Delayed payment of milestone invoices
Automatic Timeline Extension:

For every day of delay caused by pending client inputs, the delivery timeline is automatically extended by an equivalent number of days. VoroHQ is not responsible for meeting original deadlines if client delays occur.

Consolidated Feedback Requirement:

To maintain efficiency, clients must provide consolidated feedback from all stakeholders in a single communication. Multiple rounds of conflicting or piecemeal feedback will result in timeline extensions and may incur additional charges.

6. Delays, Extensions & Timeline Adjustments

VoroHQ-Initiated Extensions:

We may request timeline extensions in the following situations:

  • Technical Complexity: Unforeseen technical challenges requiring additional development time
  • Third-Party Delays: Government processing delays (incorporations, trademarks), API provider issues, vendor dependencies
  • Resource Constraints: Team member illness, unexpected workload, or staffing changes
  • Quality Assurance: Additional time needed to ensure deliverable quality meets standards

In such cases, we will notify you immediately with a revised timeline and explanation.

Client-Requested Extensions:

Clients may request project pauses or timeline extensions for legitimate reasons:

  • Project Pause: Up to 90 days (subject to approval and may incur holding fees)
  • Timeline Extension: Must be requested in writing at least 7 days in advance
  • Scope Changes: Any changes to agreed scope will result in revised timelines and costs

Expedited Delivery:

For urgent projects requiring faster turnaround:

  • Rush charges of 25-50% may apply depending on timeline compression
  • Must be requested before project commencement
  • Subject to resource availability and feasibility
  • Not all services are eligible for expedited delivery (e.g., government filings)
Realistic Expectations:

Quality work takes time. While we strive to meet all deadlines, we prioritize delivering exceptional results over rushing to meet arbitrary dates. Your business success is our priority.

7. Delivery Methods & Formats

Digital Delivery:

Most deliverables are transmitted electronically via:

  • Email: Documents, reports, and small files sent directly to registered email
  • Cloud Storage: Google Drive, Dropbox, or WeTransfer for large files (videos, design files, source code)
  • Project Portal: Voro HQ One clients access deliverables through dedicated project management dashboard
  • FTP/Server Upload: Direct upload to client servers for websites and applications
  • Version Control: GitHub, GitLab, or Bitbucket for source code repositories

Physical Delivery:

For certain deliverables requiring physical format:

  • USB/Hard Drive: Large video projects, design source files (shipped via courier)
  • Printed Documents: Legal documents, contracts, certificates (via registered post or courier)
  • Delivery Timeline: 3-7 business days within India via courier services
  • Shipping Charges: Actual courier costs billed to client

File Formats:

Standard delivery formats by service type:

  • Design Files: AI, PSD, PDF, PNG, JPG, SVG
  • Video Files: MP4, MOV, AVI (HD 1080p or 4K)
  • Documents: PDF, DOCX, XLSX, PPT
  • Web Development: Source code, database exports, documentation
  • Legal Documents: Signed PDF, physical copies where required

Source Files:

Source files (editable formats like PSD, AI, AEP, project files) are delivered:

  • Only after full and final payment is received
  • As part of final project handover
  • With a one-time delivery (no re-sends unless agreed separately)

8. Acceptance Process & Sign-Off

Deliverable Review Period:

Upon delivery, clients have 5 business days to review deliverables and provide feedback. This includes:

  • Testing functionality (for websites/apps)
  • Reviewing design, content, and quality
  • Checking against agreed specifications
  • Identifying any issues or concerns

Acceptance Criteria:

Deliverables are considered accepted when:

  • Client provides written acceptance/approval
  • 5 business days pass without feedback (implied acceptance)
  • Client begins using the deliverable (website goes live, videos published, etc.)
  • Final payment is received without objections

Revision Rounds:

Most packages include limited revision rounds:

  • Design Work: 2-3 rounds of revisions within scope
  • Content/Copy: 1-2 rounds of edits
  • Video Editing: 2 rounds of changes
  • Development: Bug fixes within 30 days post-launch

Additional revisions beyond included rounds are billed at standard hourly rates or agreed revision fees.

Sign-Off Requirements:

For project closure, we require:

  • Formal written acceptance via email
  • Sign-off on project completion form (for major projects)
  • Confirmation that all deliverables have been received
  • Final payment clearance
Post-Acceptance Changes:

Once deliverables are formally accepted or the review period expires, any subsequent changes, modifications, or additions are considered new work and will be billed separately.

9. Post-Delivery Support & Warranty

Included Support Period:

We provide complimentary post-delivery support as follows:

  • Website Development: 30 days bug-fix support (excludes new features)
  • Mobile Apps: 30 days technical support and critical bug fixes
  • Legal Services: 15 days clarification support post-document delivery
  • Video Production: One round of minor corrections within 7 days
  • Design Work: File format conversions within 15 days

What's Covered in Support:

  • Bug fixes and technical issues arising from our work
  • Clarifications on delivered documentation
  • Minor tweaks within original scope
  • Assistance with implementation or deployment questions

What's NOT Covered:

  • New features or functionality additions
  • Design changes or content updates
  • Third-party integration issues
  • Server, hosting, or domain issues
  • Changes to scope or requirements
  • Training or ongoing consultation

Extended Support Plans:

For ongoing support beyond the included period:

  • Monthly Retainer: Dedicated hours per month for updates and support
  • Annual Maintenance: Yearly contracts for websites, apps, or marketing
  • Voro HQ One: Includes continuous support throughout 6-month engagement
  • On-Demand Support: Pay-per-hour for ad-hoc support requests
Priority Support for Voro HQ One Clients:

Voro HQ One clients receive priority support with 24-hour response times and dedicated account management throughout the entire engagement period.

10. Force Majeure & Unforeseen Circumstances

VoroHQ shall not be held liable for delays or failure to deliver services due to circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters (earthquakes, floods, fires, pandemics)
  • Government actions, regulations, or restrictions
  • Internet service disruptions or cyber attacks
  • Power outages or infrastructure failures
  • Labor strikes or civil unrest
  • Third-party service failures (hosting providers, payment gateways, government portals)
  • Acts of war, terrorism, or public emergencies

In such events, we will notify you promptly and work to resume services as soon as reasonably possible. Timeline extensions will be granted without penalty or compensation.

COVID-19 & Remote Work:

VoroHQ operates with a hybrid work model. While we have systems in place for remote service delivery, certain services requiring physical presence (video shoots, in-person consultations) may face delays during health emergencies or lockdowns.
